Saved views, exports & scheduled reports

Turn a filtered donor or gift list into a one-click, reusable view — then export it to CSV or have it emailed to your team on a schedule.

Find it: The Views · Columns · Save view · Export CSV bar above the Donors list (and the Gifts list); scheduled delivery lives in Left nav → Scheduled Reports · Who can use it: Anyone can build, save, and export a personal view. Sharing a view org-wide and managing scheduled reports are Org Admin / CDO only.

What you'll see

Above the donor and gift lists sits a row of buttons:

  • Views — a dropdown of saved views, split into "Shared with team" and "My views."
  • Columns — a checklist of which columns to show or hide.
  • Save view — saves whatever you're looking at right now.
  • Export CSV — downloads the current list.

The Scheduled Reports screen (admins only) has a form to schedule a saved view for email delivery, plus a table of the schedules you've already set up.

How to build and save a view

  1. On the Donors or Gifts list, set your filters (category, tier, stage, and so on) and search until the list shows exactly the people you want.
  2. Use Columns to show or hide fields — the order stays consistent no matter what order you tick them in.
  3. Click Save view, give it a clear name (e.g. "Overdue major donors"), and save.
  4. To share it with everyone in the org, tick Share with the whole team in that dialog — this option is available to admins only.

Your saved view now appears in the Views dropdown. Click it any time to snap the list back to those exact filters and columns.

Why views are worth building

A saved view is more than a convenience — it's a way to write your methodology down once and reuse it. The categories and tiers ThankFirst computes (First-Time, LYBNTY at-risk, Major Donor, and so on — see Donors) become the building blocks of a segment you name and keep. "My LYBNTY major-donor prospects" stops being a search you re-run from memory and becomes one click that everyone on the team can trust to mean the same thing.

How to update or delete your views

  • In the Views dropdown, hover a view you own. The refresh icon updates it to match your current filters and columns; the trash icon deletes it.
  • You can only change or delete views you created. Shared views made by an admin are read-only to everyone else.

How to export a view to CSV

  1. Get the list looking how you want (apply a view, or just filter directly).
  2. Click Export CSV. The file downloads with the columns you have showing.

Every export is recorded in the audit log — always, no exception. This is deliberate: your data is yours to take anywhere, so you're never locked into ThankFirst, and at the same time an org always has an accountable record of who pulled donor data and when. An export only ever contains rows you're already allowed to see.

How to schedule a report by email

  1. First save the view you want to send (on the Donors or Gifts list) — scheduling works off saved views.
  2. Go to Scheduled Reports in the left nav (admins only).
  3. Choose the view to send, a cadence (weekly or monthly), the day and hour (times are in UTC), and one or more recipient email addresses (comma- or space-separated).
  4. Click Schedule report. It appears in the table below, where you can Send now, pause/resume, or delete it.

For example, a weekly major-gift pipeline can land in the CDO's inbox every Monday morning without anyone remembering to send it. Recurring delivery runs on the platform's automation engine; you can configure schedules today and use Send now to deliver on demand.

Good to know

  • Saved views remember filters and columns, not a frozen snapshot of donors — open one next month and it reflects your data as it stands then.
  • Scheduled reports send the view as a CSV attachment, the same file you'd get from Export CSV.
  • A report you schedule points at a saved view — if that view is later deleted, the schedule has nothing to send, so keep the underlying view around.
  • Dashboard-level snapshots and org settings live in Dashboard and Settings.
